Welcome to the School of Pharmacy Room Request Form. Please read and accept our room reservation policy to proceed with your request. You will be contacted by Pharmacy Student Services when your room has been assigned, or if there are any questions concerning your request. A room will be assigned to you based on availability, description, and the anticipated audience size. Whenever possible, you will be assigned to your preferred room, however, we can not guarantee that will occur in all situations.
School of Pharmacy Facility Use Policy and Scheduling Instructions
The following policy statements govern the use of Beard Hall and Kerr Hall facilities at the University of North Carolina at Chapel Hill.
- Use of the facilities
The facilities may be reserved by School of Pharmacy faculty, staff, and student organizations. Persons or groups that are not affiliated with the School of Pharmacy may request a room; however, any classes or uses by the School of Pharmacy shall have priority in the event of scheduling conflicts.
All room reservation requests will be processed by the classroom reservation coordinator (pharmacystudentservices@unc.edu) on a first-come, first-served basis. The classroom reservation coordinator has the authority to approve, deny, or reconcile room requests based on conflicts, room availability, short notice, incomplete requests, or lack of IT support for School of Pharmacy video teleconference (VTC) events. Reservations will not be booked more than six months in advance.
- Hours of Operation
Normal operating hours are 7:00 a.m. to 7:00 p.m., Monday through Friday. Operating hours for the Kerr Hall seminar rooms (Kerr 1304, 2304, and 3304) and Beard 202D and 202E are 7:00 a.m. to 5:00 p.m. The School is closed on Saturday and Sunday. The School of Pharmacy may accommodate events outside of normal operating hours; please consult the classroom reservation coordinator (pharmacystudentservices@unc.edu) for more information.
- Scheduling Instructions
To request use of the School of Pharmacy facilities, complete the Room Reservation form, which can be found after agreeing to the School of Pharmacy Facilities Use Policy at the bottom of this page.
Special note for School of Pharmacy student organizations: All room requests for student organization events must be placed by the Student Senate secretary.
When scheduling VTC events, be sure to include an extra half hour prior to the event for setup and testing.
A decision will be made within five business days after receipt of request. Requests received less than five business days in advance of the date for which the School of Pharmacy facility is needed will be honored at the discretion of the classroom reservation coordinator.
All involved parties must view our classroom orientation video or schedule a one-on-one orientation prior to the initial use of one of the School of Pharmacy’s videoconference classrooms (Kerr 1001, Beard 116, Beard 202D or 202E). To schedule a one-on-one classroom orientation, send a request to ITSOP@unc.edu.
- Cancellation Instructions
To cancel a reservation, notify the classroom reservation coordinator. Include the room number and date of the reservation.
- Conditions and Limitations for Use
All arrangements will be in accordance with the following rules and conditions for use of the facilities.
- Food and Beverages: Food and beverages (except bottled water) are not allowed in either of the auditorium classrooms (Kerr 1001 and 2001) or in Beard 202D or 202E. Food and drinks are allowed in the remaining Kerr Hall and Beard Hall rooms for events scheduled during the lunch hours (12:00 p.m. to 2:00 p.m.). No alcoholic beverages may be served without express written permission from the Office of the Chancellor. - Furniture: Furniture and fixtures should not be moved from any room without consulting the classroom reservation coordinator first. Rooms must be returned to their original condition following the event. See Audio/Visual Equipment section for items available for use.
- Signage: Announcements or notices for your events may be placed only on the easels located on the first and second floors of Kerr Hall or the bulletin board on the first floor of Beard Hall and must be pre-approved by the classroom reservation coordinator. No signs may be placed on walls, windows, or doors.
- Smoking: Smoking is prohibited in all areas of the School of Pharmacy.
- Audio/Visual Equipment: To request use of the School of Pharmacy A/V equipment (e.g., projector, laptop, tablet PC, mobile VTC unit), specify the needed equipment under “Other special considerations or requests” when completing this form.
- Cleaning: The sponsoring organization is responsible for returning the facility to its original condition. All spaces used for the event must be left in a clean and mutually agreed upon condition. Trash, bottles, cans, and decorations must be removed at the end of the event. If you are scheduling a large event that will require extra trash receptacles, contact the facilities coordinator with your request.
- Responsibilities
The sponsoring organization will be charged for: damage or loss to the School of Pharmacy building and equipment. The School of Pharmacy will not be responsible for anything left in the facility by the sponsoring organization or its affiliates.
